Welcome to HR.my — Start with Leave Management in 10 Minutes

Welcome to HR.my!

HR.my offers a wide range of features to support your daily human resource management needs. As a new administrator, you may find the system a little overwhelming at first — but don’t worry. The easiest way to get started is to focus on just one feature first.

To help you see results quickly, we recommend starting with Leave Management, one of the most commonly used features in HR.my. Once you understand how this works, you will find it much easier to explore the other features at your own pace.

Here is a simple 10-minute guide to help you get started with Leave Management. The estimated time required is shown at the beginning of each action:

  1. 1 min — Update your employer name

Please update your employer name first, as it will be used when you send invitation emails to your employees to sign up for their Employee Web Accounts.

You can update it via Employer > Information > Edit.

  2. 3 min — Add your first employee

Go to Employee > Management, then click the + button in the upper-left corner to add an employee, or click the Import button on the upper-right panel to import employees. Start by adding or importing 1 or 2 employees with their basic information. Only 5 fields are required. We recommend adding yourself as the first employee so you can test the full workflow easily:

    Personal

    • Employee ID

    • First Name

    • Last Name

    • National ID

    Job

    • Position
  3. 2 min — Invite the employee to sign up for an Employee Web Account

After adding an employee, you will see an option to invite the employee to sign up for their Employee Web Account.

Please send the invitation, then follow the email instructions to complete the sign-up process.

  4. 1 min — Set up leave entitlement

In your Employer account, go to Leave > Management, select the employee who has just signed up for the Employee Web Account, then click the + button on the upper-right panel.

Add an ANNUAL leave entitlement for this employee.

  5. 1 min — Submit your first leave application as an employee

Sign in to the Employee Web Account, go to Leave > Application, click the + button in the upper-left corner, and submit a leave application.

  6. 1 min — Approve your first leave application as an administrator

As an administrator, you will receive an email notification for the newly submitted leave application.

Sign in to your Employer account, go to Leave > Review / Planner / Schedule, then click the new leave application to Approve or Reject it.

  7. 1 min — Set up Leave Approval Workflow for different employee roles

To get the most out of HR.my e-Leave Management, we highly recommend setting up the Leave Approval Workflow for different employee roles.

This allows you to assign employees such as Line Managers, Heads of Department, Heads of Branch, or Custom Approvers such as Boss or HR Leave Reviewer to review, approve, or reject leave applications.

  8. Optional — Enforce your leave application rules

You can set rules such as requiring employees to apply for leave a certain number of days in advance.

This can be configured easily via Leave > Type.

Once you are familiar with Leave Management, you may also explore these other HR.my features:

  • Attendance and Time Clock

HR.my Attendance Management is made easier with the integration of free Time Clock and Field Check-In features, allowing employees to clock in and clock out through their Employee Web Accounts.

  • Expense Claim Management

e-Claim comes with a complete Claim Approval Workflow, giving you a better alternative to manual, paper-based expense claim submissions.

You can also enforce claim controls based on expense type and limits, including receipt claims, mileage claims, Per Diem, and more.

  • Incident Management

Empower your employees to report, track, and investigate incidents related to employee misconduct, merits, workplace safety, or workplace accidents through Incident Management.

  • Document Workflow

Reduce paperwork by migrating almost any paper-based approval process, such as timesheet or expense claim form approvals, to HR.my’s versatile Document Workflow.
